What we do about PHI
These are commitments you can hold us to, not marketing language.
Business associate agreements
A signed BAA is in place before any protected health information moves, including during the free practice audit. No exceptions and no verbal arrangements. If you need our BAA template ahead of a call, ask and we will send it.
Access control
Access to your systems is role-limited to the people assigned to your account, granted at the minimum level needed to do the work, and revoked when someone leaves the account. Access is logged.
Data handling
PHI stays inside your practice management and EHR systems wherever possible. Where data must move, it moves encrypted in transit and at rest. We do not email unencrypted PHI and we do not keep local copies beyond what the work requires.
Staff training
Everyone with PHI access completes HIPAA training at onboarding and annually thereafter, with records kept. Coders additionally maintain their AAPC continuing education requirements.
Incident response
We have a written breach notification procedure. If an incident affecting your data occurred, you would hear from us directly and promptly, along with what happened and what we are doing about it.
Audit support
If a payer or a government program audits you, we support the response: pulling documentation, reconstructing the coding rationale, and responding within the deadline.
Certifications
Our coders hold AAPC certification. We operate under HIPAA as a business associate with a signed BAA for every client. Additional third-party certifications are in progress and this page will list them with their issue dates once they are held, not before.
