Privacy Policy

What this website collects, what we do with it, and how to tell us to stop.

Effective 23 September 2026

What this policy covers

This policy describes what happens to information you enter on asesormd.com, our public marketing website. It is written for prospective clients, not for patients.

It does not cover protected health information. When AsesorMD bills on behalf of a practice we act as a business associate under HIPAA, and patient data is governed by the Business Associate Agreement signed with that practice, not by this page. If you are a patient with a question about your own records, please contact your provider — we are not able to discuss your information with you directly.

What we collect

Only what you type into the contact and free-audit forms. Those fields are:

  • Full name
  • Work email address
  • Phone number
  • Practice name
  • Specialty, monthly collections, and share of claims over 90 days in A/R — all optional
  • Anything you write in the message box
  • Which page you submitted the form from
  • Whether you ticked the box agreeing to be contacted

What we collect automatically

Your IP address is read when a form is submitted and held briefly in memory, to limit how many submissions can arrive from one address in a ten-minute window. It is not written to a database and is not stored alongside your enquiry.

Our web host keeps ordinary server logs, which record IP addresses and requested URLs the way every web server does. Those logs belong to the hosting provider and are kept under their retention schedule.

What we do not collect

This site runs no analytics, no tag manager, no advertising or social media pixels, and no session recording. It writes no cookies and stores nothing in your browser. There is no consent banner because there is nothing to consent to.

Typefaces are downloaded when the site is built and served from this domain, so loading a page does not tell Google that you visited.

The map on our contact page

Our contact page embeds a map from OpenStreetMap. When that page loads, your browser requests the map directly from openstreetmap.org, which means OpenStreetMap can see your IP address and that you loaded the map. It is the only third party your browser contacts anywhere on this site.

That request is handled under OpenStreetMap’s own privacy policy, which we do not control.

What we use it for

To answer you. A submitted form is emailed to our team so someone can reply, prepare the free practice audit you asked for, and work out whether we are a fit for your practice.

We do not sell your information, rent it, or share it with advertisers or data brokers. We do not use it to build a profile of you, and we do not send marketing unrelated to the enquiry you made.

Who sees it

The AsesorMD staff who handle new enquiries. Your submission is delivered to our own mail server, on the same hosting account as this website, rather than through a third-party marketing platform.

Beyond that, we share business contact details only with the service providers who help us run the business, such as our hosting and email providers, and only so far as they need it to do that job.

We may also disclose information where the law requires it, such as in response to a valid subpoena or court order.

Calls, emails and text messages

The tick box on our forms is your consent under the Telephone Consumer Protection Act for us to contact you about your enquiry by phone, email or text. Message and data rates may apply.

To stop text messages, reply STOP to any message from us. To stop contact altogether, email the address at the bottom of this page and we will remove you. Agreeing to be contacted is not a condition of buying anything from us.

Where else we get business contact details

Besides what you send us, we may use publicly available business contact information to identify practices that could benefit from our services — for example the NPI Registry published by the Centers for Medicare & Medicaid Services in its National Plan and Provider Enumeration System.

That data covers providers in their professional capacity and contains no patient information. If we contacted you this way and you would rather we did not, tell us and we will stop.

How long we keep it

Enquiries live in our email system. We keep them for as long as we need to respond to you and afterwards as part of our business records, unless you ask us to delete them.

Your choices

You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email the address below and we will respond.

NEEDS COUNSEL — depending on where the business operates and how many people it handles data for, state privacy laws such as the California Consumer Privacy Act may grant specific rights, set response deadlines, require a Do Not Sell or Share link, and require the categories collected to be described in statutory language. Confirm which statutes apply, then rewrite this section to match.

Security

This site is served over HTTPS, so form submissions are encrypted in transit, and mail leaves our server over an authenticated, encrypted SMTP connection.

No method of transmission over the internet is completely secure, so please do not send patient information, medical records or account numbers through the contact form. If you need to send us something sensitive, ask and we will arrange a secure channel.

Children

This website is intended for healthcare business professionals and is not directed to children under 16.

Changes to this policy

If we change how this site handles information, we will update this page and change the effective date at the top. Material changes will be described here rather than made quietly.
